Safeguarding Policy

The Duke of Edinburgh’s International Award Indonesia ("DoEII") is committed to ensuring that every young person involved in our activities feels safe, respected, and protected. This Safeguarding Policy is designed to establish a strong culture of protection, prevent all forms of abuse, exploitation, violence, and neglect against young people aged 14–24, and provide clear guidance to all those involved in delivering the Award in Indonesia.

The policy outlines core safeguarding principles, defines the responsibilities of all parties, sets out expected standards of behavior including Code of Conduct, and describes clear procedures for reporting and responding to incidents. All staff, volunteers, partners, and stakeholders are required to understand and implement this policy in every aspect of their work.

By adopting this policy, we affirm our full commitment to prioritizing the safety, well-being, and dignity of young people in all Award-related activities.

Any individual who receives a disclosure of abuse or notices signs or indicators of harm involving a child or young person must report their concerns as soon as practically possible to the DSL at dsl@intawardindonesia.org or +62 811 1183 6061. In the case of immediate danger or requiring urgent support, call 112.

Code of Conduct & Safe from Harm

Kode Etik & Aman dari Bahaya

The Duke of Edinburgh's International Award is committed to the welfare and well-being of young people. Our Safe From Harm policy protects all participants from abuse, neglect, and physical, sexual, or emotional harm. This is governed by our Code of Conduct, which applies to all adults in face-to-face, online, social media, and virtual settings.

The Code of Conduct provides clear guidelines: adults must Always treat everyone with respect, provide a positive example, and plan group activities within sight or hearing of others. Conversely, you must Never permit youth bullying, have inappropriate physical or verbal contact, or make suggestive remarks, even jokingly. All adults have a duty to report concerns or suspicions. Serious Incident Reporting (SIR) Policy

The Duke of Edinburgh's International Award Indonesia (DoEII) is dedicated to the safety and well-being of young people and vulnerable adults, which is supported by our Serious Incident Reporting (SIR) Policy. A serious incident is an adverse event that poses a significant risk of harm to individuals, financial loss, reputational damage, or criminal behavior.

To decide if an incident is reportable, Operating Partners (OPs) should use the Award's 'tension triangle' to assess the risk of provoking significant adverse publicity or financial/legal liability across three areas: Behavior, Proximity, and Reputation. All serious incidents must be reported to DoEII as soon as possible, or immediately after the OP becomes aware of it. If criminal activity is involved, report to DoEII after informing the relevant authorities. Reports are submitted using the Serious Incident Report Form to the Designated Safeguarding Lead (DSL) at dsl@intawardindonesia.org. DoEII will respond within 48 hours

Whistleblowing Policy

The Duke of Edinburgh's International Award Indonesia (DoEII) is committed to the highest ethical standards, accountability, and transparency. Our Whistleblowing Policy encourages all stakeholders to raise concerns about serious misconduct, wrongdoing, or policy breaches within the organization without fear of reprisal. This policy is designed to protect Whistleblowers (Reporters) who disclose information in good faith.

A reportable concern can cover various issues, including fraud, corruption, abuse of power, sexual misconduct, and risks to health and safety. Whistleblowers can report their concerns to the Designated Whistleblowing Officer (DWO) via email at whistleblowing@intawardindonesia.org or by mail. The DWO is responsible for receiving and handling all reports confidentially and impartially. DoEII strictly prohibits retaliation against any individual who raises a concern honestly, even if the concern is later determined to be unfounded.

Complaints Policy

The Duke of Edinburgh's International Award Indonesia (DoEII) is committed to providing a high-quality experience and encourages stakeholders to voice dissatisfaction with the service or conduct of staff, volunteers, or partners through its Complaints Policy.

A Complaint is an expression of dissatisfaction about the standard of service, action, or lack of action by DoEII or its Operating Partners (OPs) that affects an individual or group. Complaints should be submitted using the Complaints Form (Appendix 1) via email to keluhan@intawardindonesia.org. Complainants are encouraged to first try to resolve the matter informally. DoEII's process involves an initial assessment, investigation, and final resolution, with a target response time of 10 working days for the final decision. If a complaint is not resolved satisfactorily, it may be escalated to the International Award Foundation.

Data Protection Policy

The Duke of Edinburgh's International Award Indonesia (DoEII) is committed to protecting the privacy and rights of all individuals whose personal data it processes. Our Data Protection Policy ensures we comply with Indonesia's regulatory framework and The International Award Foundation’s requirements for handling Personal Data.

Personal Data is any information relating to an identified or identifiable natural person. DoEII processes this data based on six core principles: lawfulness, fairness, and transparency; purpose limitation; data minimization; accuracy; storage limitation; and integrity and confidentiality. This applies to all personal data collected and processed by DoEII, including that of staff, volunteers, partners, and participants. Individuals have rights regarding their data, including the right to be informed, the right to access, the right to rectification, and the right to erasure. The Data Protection Officer (DPO) is responsible for overseeing compliance with this policy and can be contacted at dpo@intawardindonesia.org for any inquiries or requests.
